Creating Groups

Groups are called selection rules in Cronofy and can be used in along with templates to create user pools that can be used for scheduling events with multiple users, like panel interviews. These can have 1 or multiple mandatory attendees from the group and will be selected in a round robin fashion.

How to Create a Selection Rules

Go to Organizational Unit Settings > Selection Rules.Click Create Selection Rule and enter the pool name. Choose members from your Organizational Unit by searching them and clicking on them one by one.

If you wish to add these users in bulk please reach out to our support.

Required: Specifies the number of users needed for mandatory attendance based on the selection rules. Users are chosen randomly but the system attempts to cycle fairly through all users included in the rule.

The pool now appears in Selection Rules and can be added to Templates to track availability.

USE-CASE

To better help you understand Selection Rules, we have a simple use case below.

Use a selection rule to arrange panel interview.

Here’s an example of how you can use selection rules to effortlessly set up a panel interview:

Imagine you have an upcoming panel interview and need two of your engineers to participate. You already have a selection rule set up with 25 engineers, so now all you need to do is create the request:

  1. Open the browser extension and select the option to create your event.
  2. In the Host field, select the selection rule by its name.
  3. Use the other Attendees field to add additional participants, such as shadowers or other required individuals.


The selection rule will randomly pick two individuals from the specified group and assign them to the request.

You can then generate a link to send to the candidate, allowing them to choose a suitable time for the interview.

How do I know how is chosen by the system?
Why can't some people be added to a selection rule?

In order to schedule for anyone else in your organization they need to have an account in Cronofy so we have access to their calendar.

Learn how to manually invite someone, or contact support@cronofy.com if you want to set up a service account. A service account will automatically sync calendars so the people you are scheduling for don't have to take any action to accept an invite.

How does Cronofy decide who gets selected from the pool?
The selection is 100% randomized.
Why does the availability preview show different slots compared to the final booking form?
To ensure we calculate the availability of needed interviewers as fast as possible, we select a randomized subset of interviewers from the larger selection rule. This subsets' availability is usually ~6-10 interviewers. When you create the request you will only see a preview of availability, when you create the request the booking form will select a final subset of interviewers that is static and will be shown to the candidate.
What happens when I update interviewers in a selection rule after I've sent out a booking link?
Any new request that is created will reflect these newly added interviewers in the pool.
